Terms and Conditions

Please read these Terms and Conditions carefully before enrolling at Vartmaan Institute Sirsa. By enrolling or attending classes at our institute, you agree to comply with and be bound by the following terms and conditions. If you do not agree with any part of these terms, please do not proceed with the admission.

1. Admission and Enrollment

1.1 Admission Process

  • Admission to Vartmaan Institute is subject to availability of seats and fulfillment of eligibility criteria.
  • Students must complete the admission form with accurate information and submit all required documents.
  • The institute reserves the right to accept or reject any admission application without assigning any reason.
  • Admission is confirmed only after payment of the required fees and receipt of the admission confirmation.

1.2 Eligibility

  • Students must meet the class/course-specific eligibility criteria as determined by the institute.
  • Age restrictions and academic qualifications, if any, must be satisfied before enrollment.
  • Students enrolling for competitive exam preparation (NEET/JEE/CUET) should be in the appropriate class level.

2. Fees and Payment

2.1 Fee Structure

  • The fee structure is available on our website and at the institute office. Fees are subject to change with prior notice.
  • All fees must be paid in full or as per the installment schedule agreed upon at the time of admission.
  • Fees once paid are non-refundable and non-transferable under any circumstances.
  • Late payment of fees may result in a fine or suspension from classes until payment is made.

2.2 Payment Methods

  • Fees can be paid via cash, bank transfer, UPI, or online payment methods accepted by the institute.
  • A receipt will be issued for all fee payments. Students must preserve receipts for future reference.
  • Any disputes regarding fee payment must be raised within 7 days of the transaction.

2.3 Refund Policy

Important: Fees once paid are non-refundable under any circumstances, including but not limited to:

  • Voluntary withdrawal from the course
  • Disciplinary action leading to dismissal
  • Absence or discontinuation of classes by the student
  • Relocation or change in personal circumstances

3. Classes and Attendance

3.1 Class Schedule

  • The institute will provide a class schedule at the beginning of each session/semester.
  • The institute reserves the right to modify class timings, batches, or teachers as per operational requirements.
  • Students will be notified of any changes in advance through SMS, WhatsApp, or notice boards.

3.2 Attendance Requirements

  • Students are expected to maintain a minimum of 75% attendance in regular classes.
  • Poor attendance may result in restricted access to study materials, tests, or other facilities.
  • Leave of absence should be communicated to the institute in advance wherever possible.

3.3 Holidays and Breaks

  • The institute will observe holidays as per the academic calendar published at the start of the session.
  • Extra classes or doubt-clearing sessions may be scheduled during holidays or weekends as needed.

4. Study Material and Resources

  • Study materials, notes, and question banks provided by the institute are for the exclusive use of enrolled students.
  • Reproduction, distribution, or commercial use of institute materials without permission is strictly prohibited.
  • Students are responsible for maintaining their study materials and books provided by the institute.
  • Loss or damage to institute property may result in applicable charges.

5. Examinations and Assessments

  • The institute conducts regular tests, mock exams, and assessments to evaluate student progress.
  • Students must appear for all scheduled tests unless on approved leave.
  • Cheating, copying, or any form of malpractice during tests will result in strict disciplinary action.
  • Test results and performance reports will be shared with students and parents/guardians.
  • The institute does not guarantee specific marks or ranks in board exams or competitive tests.

6. Code of Conduct

6.1 Student Behavior

  • Students must maintain discipline and show respect toward faculty, staff, and fellow students.
  • Use of mobile phones during class hours is strictly prohibited unless permitted by the teacher.
  • Students should not engage in any form of bullying, harassment, or disruptive behavior.
  • Any damage to institute property will be charged to the concerned student.

6.2 Dress Code

  • Students are expected to dress appropriately and maintain a neat appearance.
  • Casual and decent attire is acceptable; however, overly casual or inappropriate clothing is discouraged.

6.3 Disciplinary Actions

Violation of the code of conduct may result in:

  • Verbal or written warning
  • Suspension from classes
  • Termination of enrollment without refund of fees
  • Legal action in case of serious misconduct

7. Parent/Guardian Responsibilities

  • Parents/guardians are expected to support the institute in maintaining discipline and academic standards.
  • Regular communication with the institute regarding student progress is encouraged.
  • Any concerns or complaints should be addressed directly to the management through proper channels.
  • Parents/guardians must ensure timely payment of fees and attendance of students.

8. Privacy and Data Protection

  • The institute collects personal information (name, contact details, academic records) for administrative purposes.
  • Student data will be kept confidential and used only for educational and administrative purposes.
  • The institute may use student photographs or achievements for promotional purposes unless explicitly objected to in writing.
  • Parents/students have the right to request access to or correction of personal data held by the institute.

9. Liability and Disclaimer

  • The institute provides coaching and guidance to the best of its ability but does not guarantee specific results in board exams or competitive tests.
  • Success depends on individual student effort, preparation, and performance.
  • The institute is not liable for any loss, injury, or damage to personal belongings on the premises.
  • Students are advised to carry only necessary items and take care of their personal belongings.

10. Communication

  • Official communication from the institute will be sent via SMS, WhatsApp, email, or notice boards.
  • Students and parents must provide accurate and updated contact information.
  • It is the responsibility of students/parents to check for updates and announcements regularly.

11. Intellectual Property

  • All teaching materials, notes, presentations, and content prepared by Vartmaan Institute are the intellectual property of the institute.
  • Unauthorized copying, recording, or distribution of classes or materials is strictly prohibited.
  • Violation may result in legal action and termination of enrollment.

12. Force Majeure

  • The institute shall not be held liable for any delay or failure to perform due to circumstances beyond its control, including but not limited to natural disasters, pandemics, government orders, strikes, or technical failures.
  • In such cases, the institute will make reasonable efforts to resume normal operations as soon as possible.
  • Online classes or alternative arrangements may be provided during such periods.

13. Amendments to Terms

Vartmaan Institute reserves the right to modify, update, or change these Terms and Conditions at any time without prior notice. Any changes will be effective immediately upon posting on the website or notice boards. Continued enrollment constitutes acceptance of the revised terms.

14. Governing Law and Jurisdiction

  • These Terms and Conditions are governed by the laws of India.
  • Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts in Sirsa, Haryana.
